1. Who is responsible
SEEC South Africa 2027 is hosted by Roth Educational Services (Pty) Ltd T/A Parklands College & Christopher Robin Pre-Primary, Reg. No. 1998/025221/07, 91 Raats Drive, Parklands, Cape Town, 7441. It is the “responsible party” for your personal information under the Protection of Personal Information Act 4 of 2013 (“POPIA”).
Our Information Officer is Michael Paul Roth, privacy@parklands.co.za, (021) 521 2700. The Parklands College POPIA policy and PAIA manual also apply.
2. What we collect
We collect only what we need to run the conference: registration, communication, catering, certificates and security.
- Account details: your name, email address, phone number and password (stored encrypted), or your Google profile name and email if you sign in with Google.
- Order details: the tickets and add-ons you buy, the buyer's name, email and phone, payment status, and when you accepted the Terms and Conditions. Card details are handled by PayFast and never reach us.
- Attendee details: for each ticket, the attendee's name, school or organisation and any dietary requirements; for learners also their grade and a parent or guardian emergency contact (name and phone number).
- Partner-sharing choice: whether you agreed to your details being shared with our partners, and when.
- Profile details: a profile photo and bio, if you choose to add them.
- Attendance details: the sessions you select and when your ticket is scanned at check-in.
- Enquiries: what you send us through the contact form.
3. Learners and children
Learner tickets involve personal information of children under 18. We only process it with the consent of a parent, legal guardian or the learner's school, as required by section 35 of POPIA, and whoever buys a learner ticket confirms they have that consent. We collect only what is needed for the learner to attend and be kept safe: name, school, grade, dietary requirements and an emergency contact. We don't ask for a learner's own email address or phone number. Learner information is never shared with partners.
Dietary requirements can reveal health or religious information, which POPIA treats as special personal information. We only use it for catering and only collect it if you choose to give it.
4. Sharing with partners
SEEC South Africa is delivered with Space Center Houston (USA), Living Maths, Sakhikamva, maxIQ Space and Trinity Preparatory. With your consent, we share your name, school, role and email address with these partners so they can send you information about space education programmes. Space Center Houston is based in the United States, and we share with them only under this consent.
We do not share attendee lists with other sponsors or exhibitors. If you give your details to an exhibitor directly, their own privacy terms apply. Learner information is never shared with partners.
Sharing is optional: you choose it with a separate checkbox at checkout, and you can withdraw your consent at any time by emailing privacy@parklands.co.za.
5. Service providers
We also use service providers who process information on our behalf to run the site:
- PayFast: payment processing.
- Supabase: database, accounts and file storage.
- Resend: sending ticket and account emails.
- Vercel: website hosting.
- Google: sign-in, only if you choose “Continue with Google”.
Some of these providers store data outside South Africa. Where that happens, we rely on them offering protection comparable to POPIA, as required by section 72. We never sell your personal information.
6. How long we keep it
We keep your information until you delete your account or ask us to delete it. Event records we no longer need are deleted within 24 months of the conference. Financial records are kept for five years as required by law.
7. How we protect it
We use access controls, encrypted connections and restricted admin access to protect your information. If we become aware of a breach affecting you, we'll notify you and the Information Regulator as POPIA requires.
8. Your rights
You can view, correct or delete your information at any time by contacting the Information Officer at privacy@parklands.co.za. Under POPIA you can also object to us processing your information, withdraw consent you gave, and complain to the Information Regulator (inforegulator.org.za).
9. Cookies
We only use cookies that are needed for the site to work, such as keeping you signed in. We don't use advertising or tracking cookies.
10. Changes
We may update this policy. The latest version will always be on this page. Photography, refunds and liability are covered in our Terms and Conditions.
